Electronic Communication Policy

To improve the coverage of our electronic communication to our members, the Board has adopted the following policy:

  1. Longer messages and/or those with rich text and media content will be authored as a PDF document.
  2. The first of two attempts to send a given message to club members will come from the Pickleball Canada/Trackie mass email facility. Trackie provides certain convenient and useful administrative features, so it remains the primary method of attempting to message club members, even if in some cases the message does not make it through spam filters. The following two rules will be followed for authoring Trackie mass emails:
    • The mass email will be created with "Add your logo, title and a border around your email" disabled to reduce the risk of appearing to be spam. 
    • As per #1 above, if a PDF was produced, it will be attached to the mass email. 
  3. If a PDF was created as per #1 above, it will be published to the registered user section of the BCPC website under MEMBERS ONLY | Club Messages.
  4. Immediately after #2 above, a second attempt will be made to message club members, this time using Gmail. If a PDF was posted as per #3 above, the Gmail email will specify the location of the PDF. This email will be minimalist in nature: short, with no banners, logo, rich text, hyperlinks or attachments to avoid triggering both client-side and server-side spam filters.
  5. Messages sent to club members by Gmail in #4 above will use one of the two official club Gmail accounts:
    • Blue Coast Pickleball Club (BCPC) Gmail account: bluecoastpickleball@gmail.com
    • Play Schedule Coordinator (PSC) Gmail account: playschedulecoordinator@gmail.com

These guidelines will help the Board deliver information more consistently end-to-end across the many different email servers, end-user devices and mail apps that run on them, in use by our large member base. We appreciate our members’ patience and understanding if they receive two notices of each message to the club, as we use both Trackie and Gmail in tandem.
