Carleton County Pickleball Club Executive Meeting

Old Business
Minutes: The minutes from January 10, 2025, were not availableto review.
Guest: Bennett Long was invited to address the CCPC Executive about the charity pickleball tournament benefiting the Debec Animal Shelter. Bennett requests permission to use the True North Baptist Church gym on April 11 and to reserve pickleball courts for the tournament hosted by the shelter.
Diane Lord moved that the CCPC Executive grant Bennett Long permission to use the previously scheduled club gym time for Bennett’s Charity tournament on April 11, 2026.
Motion seconded by Tony Budrow.
Discussion: The Debec Animal Shelter will host a mixed tournament with 8 teams rated 3.5+ and 8 teams rated 3.49 or below. Registration ends March 28; register with Bennett for $60 per team. Players should bring their own lunch and pay a $2 gym fee. A donation container will be available, and tax receipts will be provided upon request. Warm-up starts at 8 am; tournament begins with a 9 am instruction.
Vote: Unanimous, motion carried.
Financial review: Diane Lord presented a detailed breakdown of the total income made after expenses from June 2025 to the end of February 2026 to be $2149.85. Motion to accept the financials as read. Motion carried.
New Business
Karina Michaud Clinics: Doris Kennedy requested that the CCPC club sanction and support a pickleball clinic on August 26, 27, and 28th, 2026, at the Hartland outdoor courts, with a rain backup at the True North Baptist Church. She has already obtained permission from the church to use the gym that week if necessary. Doris would act as the CCPC’s liaison between Karina Michaud and players interested in registering for the clinics. Each player will be required to hold the PB Canada registration for insurance. The details of the clinic have been sent to all CCPC members. Doris has proposed this event as a motion for the CCPC to support and sanction the clinic as discussed. The motion was seconded by Diane Lord. There was no further discussion. The motion was carried.
King and Queen of the Court: Leigh Hoyt proposed a suggestion to use Wednesday club play to run a mixed open King and Queen of the Court. It would be for all members. There will be two sessions, 6-8 pm and 8-10 pm, with 9 men and 9 women per session, for a total of 18 players per session. Sign-up will begin at 6 pm on the Monday before. This begins on March 25, and sign-ups start at 6 pm on Monday, March 23, and remain open until each session is maximised. This will be the format for the remaining Wednesdays until further notice.
King and Queen of the Court is a fast-paced, competitive, and social game that keeps players constantly on the move. The Goal is to win your match to move toward the "top court" (King's Court) and stay there. Courts are ranked from top to bottom (e.g., Court 4 is the King's Court, Court 1 is the lowest). If you win, you move up one court. If you lose, you move down one court. When players move up or down, they split up and change partners to play with someone new. Once they win and reach the King's Court (Court 4), they remain partners until they are defeated. Once defeated, they start again at court 1, a constant circle of movement. Matches are short and timed sessions of 12 minutes. When the buzzer sounds, the team with the highest score wins. If there is a tie, the game is played, and the next point won will be declared the winner.
Leigh proposed the King and Queen of the Court as a motion with the details above. Motion seconded by Darren Hoyt. There was no further discussion. Motion Carried.
NBCC Play: Diane Lord presented the financial statements, indicating that the renting of NBCC may not be financially viable. It requires at least 14 players to play on Tuesday and Thursday evenings. Initially, the turnout was good; one night may cover the deficit from the other night, but we should look at attendance through due diligence and decide whether to rent it for the next month. Discussion included that attendance might be lower because people are away or on vacation, ill, or have other obligations. Are people aware of the rental fee and the attendance requirement? Should we open it up to all members. It was voiced advance players need it for the sanctioned tournaments coming up.
Conclusion: The executive agreed to post a chat message about the need for NBCC attendance to cover the rental fee. Three courts on Thursday nights will be reserved for tournament prepplayers, and the other three courts will be for open club play.
Group Facebook Chat Line: Darren Hoyt suggested that the chat line be used solely for group-play communication and that social chatter be avoided.
Discussion: Many of the important communication messages are being lost in the constant chatter. Though we all agree it is nice to know about winners, to congratulate, and to laugh at memes and jokes, it is not the purpose of the chat. Yes, if someone wins a tournament, by all means, communicate this, but congratulations should go to the person’s personal chat line, not the CCPC communication chat line. There is a CCPC Facebook page where you can freely post pictures, memes, jokes, and other content. That is welcomed. Any complaints should be directed to an executive member, not posted on the chat line, because important messages are getting lost.
Conclusion: The CCPC members will be informed of the chat line's purpose and encouraged to use the CCPC Facebook page more often to share pictures, memes, congratulations, and member chatter. Facebook address below.

Dusty True North gym floor: To address the numerous complaints about the dusty and slippery gym floor, Tony volunteered to sweep it on Wednesdays before play, and Darren suggested that the men sweep it before they leave on Sunday nights. Darren will also speak to the pastor about having the gym floor thoroughly washed once a month.
Ladies play on Sundays: Doris Kennedy proposed that the private Sunday ladies group be approved and sanctioned by the CCPC. Tanya Hoyt will oversee ensuring that all players are registered with Pickleball Canada for insurance. Leigh Hoyt seconded the motion. No further discussion took place. The motion was carried.
Congratulations: Melissa Blythe Clark has accepted the role of Provincial Director of Coaching.
