Duties of Directors and Officers
KPC Board Member
- actively participate in board meetings by
- contributing meaningful topics to meeting agendas
- showing up prepared based on planned agenda
- proactively sharing ideas for club improvements
- voting on key decisions without bias and in the best interest of the membership
- facilitate member feedback and advocate for the opinions and views of all members
- engage and support new club members proactively
- act as court organizer when required to ensure play sessions run smoothly and efficiently
- ensure all players sign in when showing up to play
- keep informed about the clubs financial activity and legal obligations
- respect confidentiality policies pertaining to membership data and board discussions
- avoid conflict of interest including operating in the best interest of the organization, not in self-interest or the interest of a stakeholder group
- be familiar with the club policies, vision and plans
- act in the best interest of the club at all times
KPC President
- preside at all meetings of the Board of Directors and the general club membership
- interface with PEI PB and other clubs on the island
- settle disputes in accordance with the Discipline policy
- official spokesperson of the club
- cast the deciding vote for any board decision that is tied
- coach and supervise other members of the Board of Directors as part of succession planning
- is an ex-officio member of all committees
KPC Vice President
- act as President when asked by the President or required due to President being unable/unavailable.
KPC Secretary
- prepare meeting agenda and circulate to Board before any upcoming meeting
- minute taker of KPC Board of Directors meetings and KPC Annual General Meeting
- distribute a copy of minutes to the Board following the meetings
- distribute any relevant information as required to the club membership base
- maintain files of minutes, correspondence, membership forms etc., on the club’s behalf
KPC Treasurer
- accept membership fees directly from members or via the PCNS
- accept tournament/event revenue from organizers
- prepare deposits and take cash to the Credit Union
- be the contact for the Credit Union
- ensure signing officers are on file and up to date at Credit Union.(2 signatures required for all withdrawals)
- keep a record of deposits and outgoing funds
- facilitate all bill payments, reimbursements and community donations
- provide financial updates at all board meetings and AGM
